The Opportunity:

This is not a traditional diary‑only EA role. We’re looking for a highly experienced, commercially astute Executive Assistant to provide proactive, trusted support to the Chief Commercial Officer during a maternity leave period. You’ll operate as a true right‑hand partner, anticipating priorities, managing complexity, and enabling the Commercial Leadership team to operate at pace.

 

Beyond executive support, this role also plays a pivotal coordination and governance role across office operations in Sydney and Auckland, working closely with Office Managers while maintaining consistency, standards, and a seamless employee experience across locations.

 

Importantly, you won’t be operating in isolation. You’ll be joining a highly supportive EA community where collaboration is core to how the team works. This is a group that genuinely rolls up their sleeves, leans in during busy periods, and looks out for one another, sharing knowledge, stepping in when needed, and taking pride in delivering a seamless experience together.

 

This is a role for someone who is calm under pressure, confident operating with ambiguity, and comfortable being the quiet force that keeps everything running smoothly, while being part of a team that values trust, partnership, and collective success.

What you'll do:

  • Provide end‑to‑end executive assistance to the Chief Commercial Officer, including complex diary and inbox management aligned to shifting commercial priorities.
  • Act as a trusted gatekeeper and point of contact between the CCO, senior leaders, and internal and external stakeholders.
  • Coordinate domestic, trans‑Tasman, and international travel, expenses, and purchase orders.
  • Own the preparation, collation, and formatting of Commercial Leadership Team weekly and monthly meetings.
  • Lead and coordinate commercial offsites, leadership events, and engagement activities where required.
  • Draft and distribute communications on behalf of the CCO with professionalism and discretion.
  • Provide strategic oversight and enablement of Office Managers in Sydney and Auckland — setting frameworks, supporting escalation, and ensuring consistency without micromanaging.
  • Step in to support other EAs during peak periods, contributing to a connected and collaborative EA community.
  • Continually look for process improvements that enhance efficiency across executive and office operation.

Just like you can’t make a great V Energy or Suntory BOSS Coffee without the perfect blend, there are a few essential ingredients we’re looking for in this role. You’ll bring:

 

  • Extensive experience as an Executive Assistant supporting senior C‑suite executives.
  • Proven ability to handle highly confidential and commercially sensitive matters with discretion and sound judgement.
  • A calm, agile, and resilient approach, thriving in fast‑paced environments with competing priorities, short‑notice changes, and incomplete information.
  • Strong commercial curiosity, with the ability to translate leadership priorities into effective day‑to‑day execution.
  • Exceptional stakeholder management skills across senior leaders, external partners, and broader teams.
  • Confidence to work autonomously, anticipate needs, and make well‑reasoned decisions without constant direction.
  • Strong Microsoft Office capability, with advanced Outlook diary and inbox management and confidence using Teams.
  • Experience coordinating events, leadership forums, or offsites, with attention to detail and follow‑through.
  • A collaborative mindset and willingness to support the wider EA and office management network.
  • Experience supporting projects or initiatives end‑to‑end. (Nice to have)
