Workplace Services Supervisor
Job Summary
- Assists the superior to manage Facilities and administration function and HR assignment to meet with Company’s policies, guidelines and employees’ engagement.
- Ensures sufficiency/effectiveness of company security system.
- Controls and monitors the performance of outsourced services to be on service schedule with good quality.
- Supports the superior to manage and control admin actual expense to align with AOP.
Job Responsibilities
1. Control and monitor company security system
• Manages and controls site security procedure, gate pass regulations in the plant, company's internal investigation process and contact with police if any issues against laws.
• Controls and monitors security guard performance and system, access door and CCTV system.
2. Control of outsourced service
• Controls and monitors services of outsourced contractors, i.e., janitorial and hygiene service, security guards, maintenance of gardening/grass lawn, shuttle van service, car rental, garbage collection, canteen vendor, etc.
• Supports the superior for the requirement and bidding process of new outsourced services.
• Supports the superior for create/review the service agreement for approval or consideration of renewal or termination and assess the performance of service providers on regular basis.
• Coordinates with service providers from time to time to address the service problems and improve the service shortcomings with the purpose to ensure the best quality of service delivery, cost saving and facilitation of overall plant operation.
3.Report and budgeting
• Provides weekly and monthly report on the working hour of outsourced services, cost comparison of outsource service, general waste volume or similar upon requirement to the superior and all concerned parties with accuracy and on time.
• Prepares budget and report of actual expenses on admin operation, purchase of new items/office equipment & tools and provide to the superior for further review and AOP preparation.
4. Administrative tasks
• Verifies billings and documents related to service charge of outsourced services and others admin expenses.
• Creates services request for the damaged items and coordinate with Engineering and all concerned parties be fixed as timeline.
• Manages and controls all building keys, employee locker keys and vehicle permitted sticker.
• Performs other admin tasks as concerned in order to ensure smooth facilitation of all admin work, correct payment against billings and deliver good HR services to all concerned parties.
5.Glass Control
• Performs a survey and inventory of glass and fiber objects (light bulbs, glass door and glass windows) under HR responsible area. And prepares layout of the locations of glasses and fiber objects.
• Verifies records of inventory and inspection of each item as regular basis.
• Submits reports to all concerned parties with accuracy and on time.
6. Support quality management systems
• Support the superior in other company core activities such as 5S, OHS and etc. and ensure the system compliance of FSC22000, OHSAS18001, ISO14001 and etc. as required.
• Participates in all activities in achieving goals and quality programs regarding Quality Foods Safety, Environment Health & Safety standards, ISO and Plant requirements.
• Executives analyze the context of the company strategic direction and HSE assessment of the organization will be encouraging continuous improvement of HSE management. Performs the duties of administration and training in accordance with the Legal / other requirements and SPBT procedure on HSE. HSE risk and opportunity evaluation, responsible with Safety officer in law. (Supervisor level)
Skills And Experience
- Male/female, age over 26 years old
- Bachelor Degree in General Management or other related field.
- At least 3 years working experience in Administration or related fields.
- Good human relations, positive attitude, good planning, decision-making and communication skills and knowledge of problem solving techniques.
- Good command of both written and spoken English with good computer proficiency.
- Service mind, proactive, self-motivator and a team player.
- Fast learner, dynamic, active and service minded.
