Executive Assistant to CEO and General Director

Job Summary

This position plays a crucial role in ensuring the efficiency and effectiveness of the CEO's office. This position exists to provide high-level administrative support, enabling the CEO to focus on strategic initiatives and leadership responsibilities. The Executive Assistant acts as a partner, facilitating communication, managing schedules, and overseeing projects to ensure the smooth operation of the executive office.

Job Responsibilities

Administrative Support:
- Manage the CEO's calendar, including scheduling and prioritizing appointments, meetings, and travel arrangements.
- Prepare and organize documents for meetings, ensuring the CEO is well-prepared with all necessary materials.
- Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely responses and follow-ups.
- Assist in the planning, execution, and monitoring of special projects and initiatives led by the CEO.
- Coordinate with departments to gather information, track progress, and ensure milestones are met, providing regular updates to the CEO.

Communication:
- Act as the primary liaison between the CEO and internal/external stakeholders, maintaining professional and effective communication.
- Draft, proofread, and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
- Facilitate clear and efficient communication within the ExCom and across departments.

Meeting & Event Coordination:
- Plan, coordinate, and execute meetings and events, including preparing agendas, taking minutes, and distributing meeting materials.
- Ensure follow-up on action items from meetings, tracking progress and deadlines.
- Organize and manage logistics for executive meetings, conferences, and events.

Office Management:
- Oversee the day-to-day operations of the CEO's office, managing supplies, equipment, and facilities.
- Ensure smooth office operations by coordinating with administrative staff and other departments.

Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and discretion.
- Ensure that all communications and documents are managed securely and appropriately.

Skills and Experience

- Bachelor's degree in Business Administration, Management, or a related field

- Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably in a multinational company

- Excellent organizational and time-management skills.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Strong written and verbal communication skills in both Vietnamese and English
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
