Senior Admin Officer (Indoor)
About your role
The Factory Admin Supervisor is responsible for overseeing essential administrative functions at the PIP and B1835 factories, ensuring smooth and efficient operations. Key responsibilities include managing canteen services, housekeeping, uniform distribution, and providing production support with PPE, office supplies, and other materials. The supervisor will also coordinate training and events, as well as oversee service car operations. This role ensures that all administrative tasks are handled efficiently, supporting the overall productivity and well-being of the factory workforce.
What You'll Do
- Supervising Canteen Operations
- Oversee canteen services, including meal ordering for guests, gas procurement, and timely expense summaries.
- Ensure cleanliness and organization in line with GMP and 5S principles.
- Managing Housekeeping Services
- Supervise housekeepers and prepare monthly service cost summaries.
- Ensure cleanliness and orderliness in assigned areas, adhering to GMP and 5S standards.
- Uniform and Office Supplies Management
- Manage the disbursement and ordering of uniforms, safety equipment, and factory supplies.
- Maintain updated safety levels and prepare monthly expense summaries, including laundry, drinking water, postage, and onboarding materials for new employees.
- Production Support
- Ensure proper allocation and upkeep of employee lockers, keys, and shoe racks, updating records weekly.
- Control stock levels to prevent shortages and expired items.
- Verify bills for phones, photocopiers, court fees, and other related items.
- Maintain public information signs and ensure they are updated and in good condition in all changing and shoe rooms.
- Event and Training Coordination
- Arrange equipment and snacks for training sessions and company events.
- Reception and Public Communication
- Supervise reception operations and act as a backup operator to handle calls, coordinate visitors, distribute supplier kits, and manage document reception and distribution when necessary.
- Service Car Management
- Oversee the scheduling and effective use of service cars to support factory operations.
What You need to be successful
- Bachelor's Degree (Unlimited Fields)
- Hospitable and have a passion for service.
- Be thorough.
- Have communication skills, good interpersonal skills, and work well with others.
- Good English proficiency and computer proficiency at work.
