Factory Admin Manager

Job Responsibilities

  1. Leadership and Team Management

    • Supervise and guide the team to ensure efficient execution of tasks across indoor, outdoor, infrastructure, and compliance areas.
    • Align team performance with organizational goals and expectations.
  2. Operational Oversight

    • Indoor Operations: Manage canteen services, uniform distribution, office supplies, PPE logistics, transportation requests, and accommodation arrangements.
    • Outdoor Operations: Supervise shuttle van services, waste disposal, and maintenance of building and garden conditions.
    • Infrastructure Maintenance: Ensure functionality and upkeep of conference systems, meeting rooms, access control, CCTV, fire alarms, phones, and public speakers.
  3. Regulatory Compliance

    • Ensure all operations comply with relevant standards and regulations including GMP and AIB.
    • Handle licenses, permits, and reporting requirements with IEAT and government agencies.
  4. Quality Assurance

    • Conduct regular audits and ensure all tasks meet GMP and AIB standards.
    • Maintain high levels of employee satisfaction with administrative services.
  5. Budget Management

    • Plan, monitor, and control budgets for all administrative tasks to ensure cost-effectiveness and alignment with organizational goals.
  6. Flexibility and Adaptability

    • Respond promptly to new assignments and business needs, integrating them smoothly into existing workflows.
  7. Continuous Improvement

    • Identify and implement improvements in processes, services, and systems to enhance operational efficiency and employee satisfaction.

What You need to be successful

  • Minimum 5 years of experience in administrative work, preferably in a manufacturing environment
  • Strong interpersonal and persuasive communication skills
  • Proficient in computer usage with basic knowledge of Microsoft Office
  • Solid understanding of factory administration and financial management principles
  • Proactive and adaptable, with a mindset for driving change
  • Familiarity with ISO and food industry standards such as ISO 9001, ISO 14001, ISO 45001, GMP, and FSSC 22000
  • English communication skills with a TOEIC score of at least 600
