About your role

Provide high-level administrative, organizational, and coordination support to multi-markets executive as assigned. This role ensures the smooth execution of SBFHE’s agenda, acting as a trusted gatekeeper, connector to key stakeholders, and execution anchor to orchestrate priorities across Thailand, Indochina, North Cluster, and South Cluster.

What You'll Do

Executive Support

  • Manage complex calendars across multiple time zones to support on SBFHE BU, prioritizing ExCom, Board, and global engagements
  • Prepare, proofread, and organize documents, reports, presentations, and correspondence
  • Coordinate internal and external meetings, including agenda preparation and minutes-taking
  • Prepare and process reimbursement and expense reports with accuracy and speed
  • Maintain strict confidentiality and discretion as required
  • Establish and maintain efficient filing, document management, and knowledge systems to ensure quick access and compliance with governance standards

 Department Support

  • Manage departmental purchase requisitions and orders, ensuring compliance, tracking, and accurate expenditure records
  • Process monthly payroll for temporary staff, ensuring accuracy and timely submission
  • Assist in preparing and tracking the department’s travel budget, consolidating inputs, monitoring spending, and reporting variances
  • Coordinate cross-market projects, ensuring follow-up and accountability from stakeholders across clusters

 Engagement Activity Support

  • Coordinate and support planning of company activities, including employee engagement programs i.e. Mugi No Ne, New Year Party
  • Liaise with internal departments and external vendors for logistics, venue arrangements
  • Coordinate internal communications in alignment with corporate communications
  • Provide administrative support during events and ensure smooth execution

 General Administration

  • Orchestrate logistics for any P&C related event i.e. leadership offsites, regional talent forums
  • Handle correspondence, inquiries, and information flow within the department
  • Maintain office supplies, equipment, and administrative needs of the team
  • Support departmental projects and ad hoc tasks as assigned

What You need to be successful

  • Bachelor’s degree in business administration, Management, Finance, or related field
  • 7–10 years of proven experience supporting senior executives, preferably within FMCG, healthcare, or multinational organizations
  • Knowledge of procurement processes, PR/PO management, and budget planning preferred
  • Strong communication and interpersonal skills
  • High proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Demonstrated ability to manage complexity across geographies, cultures, and functional priorities
  • Exceptional discretion, strong organizational skills, and the ability to handle sensitive information
